RouteZero Terms of Service
These Terms of Service ("Terms") apply to everyone who uses RouteZero — whether you're on the free Trial or a paid plan. When you create an account, or continue using RouteZero after we update these Terms, you're agreeing to them.
These Terms include our acceptable use rules (Section 4) and our data handling commitments (Section 6). Together with our Data Processing Addendum and Privacy Notice, they're the whole agreement between you and Dynamon Ltd about RouteZero.
1. What the words mean
When we use these words in these Terms, here's what we mean:
- Account — your individual RouteZero login, and the Organisation we set up for you on first sign-in.
- Customer Data — anything you upload, create, or send through RouteZero.
- Dynamon, we, us, our — Dynamon Ltd, incorporated in England and Wales, company number 09633575 registered office KENNETH DIBBEN HOUSE ENTERPRISE ROAD, SOUTHAMPTON SCIENCE PARK, SOUTHAMPTON, UNITED KINGDOM, SO16 7NS
- Organisation — the workspace that scopes your users and fleet data within RouteZero.
- RouteZero, the Service — Dynamon's RouteZero web application and APIs, including route planning, energy and charging simulation, and related features.
- Terms — this document, plus the Data Processing Addendum and Privacy Notice it links to.
- Trial — the free tier described in Section 3.
- You, your — the business that owns the Account, and anyone using RouteZero through it.
2. Accounts and authority
- Agreeing to these Terms. You agree by clicking 'I accept' on first login, or by continuing to use RouteZero after we notify you of an update.
- Business use only. RouteZero is for businesses — companies, partnerships, sole traders, and their staff. It's not for personal or household use. By signing in you confirm you're using it in a business capacity, not as a consumer.
- Authority. If you're accepting on behalf of a company or other organisation, you confirm you have authority to bind them.
- Age. You must be at least 18.
- Account security. Keep your credentials safe. You're responsible for everything that happens under your Account, including anything done by your staff.
- Sign-up limits. We may restrict free-tier sign-ups — for example, one per email domain, or blocking suspected abuse — at any time. That's not a change to these Terms.
3. What the Service does — and what it doesn't promise
3.1 What it does. RouteZero provides route planning, energy and charging simulation, fleet and vehicle configuration, and related analytical outputs. Specific features vary by plan and may change over time.
3.2 Credits. Some features are metered in credits — currently one credit per route analysis. We'll let you know if that changes.
The Trial tier
New accounts start on Trial, which currently includes:
- 100 credits on first login
- 10 credits per month after that, topped up automatically
- access to the same core route-analysis features as paid plans, subject to those credit limits
Trial credits are for evaluation and genuine business use. We may change or remove the Trial tier, including credit allowances, at any time — we'll email active Trial users beforehand where the change is significant.
3.3 Outputs are estimates, not facts. Everything RouteZero produces — routes, energy use, costs, savings, CO₂ figures — is a computed estimate based on your inputs, modelled vehicle parameters, third-party map data, and synthetic telematics. It's not measured real-world data. Check outputs independently before making any operational, financial, contractual, or regulatory decision based on them.
Important — CO₂ and savings figures
All CO₂, energy, cost, and savings figures from RouteZero are modelled estimates, not measured emissions. They are not suitable as the sole basis for any statutory or contractual emissions reporting — including SECR, CSRD, GHG Protocol disclosures, ESOS submissions, or net-zero claims. You're responsible for independently substantiating any external claims you choose to make using RouteZero outputs. Our methodology is available on request.
3.4 Availability. We run RouteZero on a best-efforts basis. We don't guarantee uninterrupted uptime and may carry out maintenance at any time, trying to minimise disruption where we can.
3.5 Beta features. We may release experimental features marked as 'beta'. These are provided as-is and may be changed or removed at any time without notice.
4. Acceptable use
What's not allowed
You must not, and must not let anyone using your account:
- break any law or regulation, or facilitate unlawful activity
- use RouteZero for personal or household purposes
- resell, sublicense, rent, or otherwise commercially exploit RouteZero beyond your own business use
- reverse-engineer, decompile, or attempt to derive the source code or methodology, except where the law expressly allows it
- probe, scan, or penetration-test RouteZero without our prior written consent
- introduce malware, or use RouteZero to distribute it
- scrape the web interface or use automated access beyond our documented API
- misrepresent your identity, your business's identity, or the business identifier you give us at checkout
- infringe anyone's intellectual property, privacy, or other rights using RouteZero
- upload data you're not lawfully entitled to share with us
- use RouteZero outputs to make a greenwashing, net-zero, or other environmental claim beyond what our CO₂ methodology supports
Data you must not upload
Don't upload or process through RouteZero:
- driver names, employee numbers, staff IDs, payroll references, or anything else that singles out an identifiable driver, worker, or contractor
- vehicle registration plates linked to an identifiable driver (anonymised fleet IDs are fine)
- special-category personal data under UK GDPR Article 9 (health, biometrics, ethnicity, religious belief, trade-union membership, sex life, or sexual orientation)
- payment card data (payments are handled by Stripe)
- personal data of anyone under 18
- regulated or confidential data you're not lawfully entitled to share with us
You can upload: business contact details for your users, depot and destination addresses, vehicle metadata not tied to a named driver, route parameters, and similar information needed to operate the Service. If you're not sure, ask support@dynamon.co.uk before uploading.
Uploading personal data confirms you have a lawful basis, have given any required notices, and are entitled to provide that data to us as processor — see Section 6 and our Data Processing Addendum.
Fair use of the Trial and any unlimited plan
Trial and any plan advertised as 'unlimited' are for genuine business use, not a licence to extract bulk value or circumvent limits. We may investigate unusual usage patterns and, where we reasonably believe a plan is being abused — for example through multiple accounts to dodge limits, false business identifiers, or systematic bulk extraction — we may impose usage caps, block further sign-ups, or suspend the account.
If you breach this section
We may investigate suspected breaches, ask you to stop, suspend access immediately where there's a security or ongoing-harm risk, and terminate your account under Section 9. We report to authorities where we're required to.
5. Your data, our licence to use it
5.1 It's yours. You keep all rights to your Customer Data. We don't claim ownership of it.
5.2 Licence to us. You give us a licence to host, process, and use your Customer Data solely to run and improve RouteZero, meet our legal obligations, and do what these Terms allow.
5.3 Anonymised use. We may use Customer Data in anonymised and aggregated form — where no individual, organisation, or specific record can be identified — to operate and improve RouteZero. Once data is genuinely anonymised it's no longer Customer Data.
6. Data handling and retention
6.1 Where your data is stored. Customer Data is held in AWS eu-west-2 (London). We'll give at least 30 days' notice before changing the primary storage region.
6.2 Sub-processors. We use the third-party sub-processors listed at Route ZERO Sub-processors. We'll give reasonable notice, normally at least 14 days, of any new sub-processor.
6.3 How long we keep data.
- Active accounts — we keep service data for as long as your account is active.
- Inactive Trial accounts — 24 months without a login triggers an email warning, then deletion 30 days later if there's still no activity.
- If you ask us to delete your data — we hard-delete it from our primary systems within 30 days, and it expires from backups within 90 days.
- Billing records — kept for 6 years from the end of the relevant accounting period, as required by HMRC. Access is restricted to tax, audit, and legal purposes.
- Legal holds — if data is subject to active litigation or a regulatory investigation, we'll keep it for the duration of the hold.
6.4 Roles under data protection law. Where we process personal data on your behalf, you're the controller and we're the processor under UK GDPR. Our Data Processing Addendum at Data Processing Addendum governs that processing and forms part of these Terms.
6.5 Your responsibilities. You confirm you have a lawful basis for any personal data you upload, and that you've given any necessary notices and obtained any necessary consents from the people it relates to.
6.6 Your data, generally. How we handle personal data about you as a user — your account, login activity, support correspondence, billing — is described in our Privacy Notice at Privacy Notice.
7. Intellectual property
7.1 Our IP. We and our licensors own RouteZero — the software, models, methodology, documentation, and branding, including any improvements derived from anonymised and aggregated data.
7.2 Your licence to use it. We grant you a limited, non-exclusive, non-transferable licence to use RouteZero and its outputs for your own internal business purposes.
7.3 Don't infringe each other's rights. Each party is responsible for ensuring that what it provides to the other — RouteZero on our side, Customer Data on yours — doesn't infringe a third party's intellectual property rights.
7.4 Feedback. If you share ideas or suggestions with us, we can use them freely, without any obligation to pay you or keep them confidential.
8. How things can change
8.1 Changes that reduce what you get. If we make a change that reduces what a paying customer gets — a price increase or removal of a feature you rely on — we'll give at least 30 days' notice by email, and you can cancel during that period without further charge.
8.2 Everything else. Minor changes (bug fixes, UI updates, new features, security patches) and changes to the Trial tier can take effect immediately. We'll flag significant ones with an in-app banner or by email.
8.3 New sub-processors. See Section 6.2.
8.4 Changes to these Terms. We'll email you before making a material change, with reasonable notice. Continuing to use RouteZero after the change takes effect means you accept it. If you don't accept, you can close your account.
9. Starting, pausing, and ending your account
9.1 Closing your account. You can close it any time via account settings or by emailing support@dynamon.co.uk. If you're on a paid plan, see Section 11 (Subscriptions) for billing consequences.
9.2 When we may suspend you immediately. We may suspend access without prior notice if we reasonably believe your account is being used in breach of Section 4, continued access poses a security risk, we're required to by law, or — for paid plans — payment is more than 14 days overdue. We'll tell you as soon as practicable.
9.3 When we may terminate. We may terminate your account on notice if you materially or persistently breach these Terms and don't fix it within 14 days of being told. If the breach can't be fixed, or is causing ongoing harm, we can terminate immediately.
What happens when your account closes
- your access ends
- your data is handled as described in Section 6
- fees already paid are non-refundable except as stated in Section 11
- Sections 5, 6, 7, 10, 12, 13, and 14 continue to apply
10. What we promise, and our liability
10.1 Our promise. We'll provide RouteZero with reasonable care and skill. Beyond that, RouteZero is provided 'as is' and 'as available' — we don't warrant it will be uninterrupted, error-free, or that any output is accurate, complete, or fit for a particular purpose.
10.2 Things we can never exclude. Nothing here limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or anything else that can't lawfully be excluded.
10.3 What we're not liable for. Subject to the above, neither of us is liable for loss of profit, revenue, business, or anticipated savings, loss or corruption of data, or any indirect or consequential loss.
10.4 The cap. Subject to the above, each party's total liability under these Terms is capped at the greater of (a) the fees you paid us in the 12 months before the claim arose, or (b) £100.
10.5 Your decisions, your responsibility. You're solely responsible for any decision you make based on RouteZero outputs.
11. Paid plans, billing, and cancellation
11.1 Business identifier. To subscribe to a paid plan you must give us a valid UK business identifier — your VAT number, Companies House registration number, or, if you're a sole trader, your HMRC reference.
11.2 Price and billing. Current prices are shown at checkout. We bill in GBP, monthly in advance, via Stripe. VAT is added at the applicable rate. We don't store your full card details.
11.3 Cancel any time. Cancel from your account settings, or by emailing support@dynamon.co.uk if that's unavailable. Cancellation takes effect at the end of your current paid month — you keep access until then, and your organisation reverts to the Trial tier.
11.4 Refunds. Fees are non-refundable except for clear billing errors, or a pro-rata refund if we cancel your subscription for a reason that isn't your fault.
11.5 Failed payment. If a renewal payment fails, we'll mark the subscription as past-due and retry via Stripe's standard process. Continued non-payment results in cancellation and reversion to the Trial tier.
12. Keeping things confidential
Each of us will keep the other's confidential information confidential and use it only for the purposes of these Terms. Your Customer Data is your confidential information; RouteZero's features, functionality, and pricing are ours.
This doesn't apply to information that becomes public other than through breach, was already known to the recipient, or must be disclosed by law.
13. How to contact us

13.2 Notices to you. We'll use the email address on your account — please keep it current.
13.3 Support. support@dynamon.co.uk. We aim to respond within one UK business day, Monday–Friday 09:00–17:00 UK time, excluding English bank holidays. This is a best-efforts target, not a guarantee.
14. Governing law and other things
14.1 Governing law. These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. We may still bring proceedings elsewhere to enforce a judgement or seek injunctive relief.
14.2 Entire agreement. These Terms, together with the Data Processing Addendum and Privacy Notice, are the whole agreement between us.
14.3 Assignment. You can't transfer these Terms without our written consent. We can transfer them as part of a corporate sale or reorganisation.
14.4 Severability. If any provision turns out to be invalid, the rest stays in force.
14.5 Waiver. Not enforcing a right on one occasion doesn't mean we waive it.
14.6 Force majeure. Neither of us is liable for delay or failure caused by something reasonably outside our control.
14.7 Third-party rights. Nobody other than the parties to these Terms has any right to enforce them under the Contracts (Rights of Third Parties) Act 1999.
